Hunterskill Recruitment are looking for a Recruitment Administrator.

Responsible for:

1. Recruitment administration

1.1 Act as the first point of contact for Recruitment & Selection enquiries, providing advice and guidance regarding the applicant tracking system.

1.2 Liaise with Recruiting Managers for advert approval and provide advice on suitable advertising media (in conjunction with Recruitment Manager and advertising agency). Ensure advertising campaigns are cost effective.

1.3 Post jobs to the recruitment management system within timescales set out in the SLA (Service Level Agreement).

1.4 Utilise the recruitment management system to progress and track applicants across various stages of therecruitment process, including shortlisting, interviewing, and appointment confirmation.

1.5 Be responsible for the management of the casual worker administration process.

1.6 Assist on selection panels as agreed by line manager.

1.7 Digitally upload outcomes of selection process.

1.8 Prepare offer letters and contracts of employment, and complete the on boarding process for new starters.

1.9 Carry out regular audit checks to ensure that required recruitment paperwork has been received.

1.10 Provide management reporting information as required.

2. Database Administration

2.1 Accurately input new starters and casual worker information to the HRIS (Human Resources Information System).

2.2 Process staff leavers and update the HRIS accordingly.

2.3 Ensure information retained on the HRIS is accurate and up to date.

2.4 Input all DBS (Disclosure & Barring Service) applications to the Umbrella Body database, liaising with line managers on incomplete forms. Confirm results to line managers and record outcomes to Excel.

3. General HR Administration

3.1 Prepare variations of contract for staff as required.

3.2 Be responsible for the monthly absence return for the HR & Payroll department.

3.3 Deal with telephone queries, and refer to other members of the team, as necessary.

3.4 Assist with the opening and distribution of all incoming post. Ensure all outgoing correspondence is dealt with in a timely manner.

3.5 Ensure the maintenance of staff files, recording and filing information correctly.

3.6 Provide administrative cover in the absence of HR staff.

3.7 Participate in adhoc protects within the HR Team as required.

4. Liaison, Communication & Working Relationships

4.1 Build and maintain good working relationships with managers across the organisation.

4.2 Being able to influence and challenge managers appropriately, as necessary.

4.3 Work closely with other team members at all times to ensure the highest possible standards of administration and advice.

5. Personal development, Supervision & Training

5.1 Participate in regular support and supervision from line management.

5.2 Continuously developing professional knowledge and expertise, attending training and development events as and when required.

5.3 Attend and participate in regular team and other meetings, both internal and external.

6. Richmond Fellowship Group Policies and Procedures

6.1 The post holder will be expected, at all times, to be familiar and comply with the written policies, procedures and guidelines for good practice, issued by Richmond Fellowship Group

6.2 Ensure the RF Health & Safety policy and procedures are adhered to at all times.

6.3 Take personal responsibility for own health and safety and report incidents and potential hazards as necessary.
